H0W TO BE PRESENT & PRODUCTIVE WHEN THERE’S NEVER ENOUGH TIME

Last year Leadercast added a new half-day event prior to Friday’s normal all day Leadercast event. This new one day even is called Leadercast Labs. This was a great addition providing some great teaching and insights into how to be a better leader in a smaller more intimate setting.


Today I am attending the 2nd edition of Leadercast Labs in Duluth, GA. I will post my notes on today’s sessions shortly.


Here are my notes from one of the sessions last year by Jeremie Kubicek.


Jeremie Kubicek has lived in Moscow, London, Atlanta and currently resides in OKC with his wife, Kelly, and their three kids, Addison, Will and Kate. He is the co-founder of the GiANT companies (GiANT Worldwide, GiANT Partners, GiANT Capital, GiANT Impact and GiANT Experiences). He is the Co-author with Steve Cockram of two books: “5 Gears: How to Be Present and Productive When There is Never Enough Time” (available September 2015); and “5 Voices: Discover Your Voice, Build Your Team and Change Your World” (available January 2016) and Best-selling author of “Making Your Leadership Come Alive: 7 Actions to Increase Your Influence”, also traded as Leadership is Dead He is the Co-creator of the Leadercast global simulcast as well as the former CEO over the national Catalyst conferences Developer of The Prairie at Post, a, modern niche real estate development in Edmond, OK and is a partner in several current startup organizations. The Secret of Leadership: Jeremie believes that the secret of leadership is knowing yourself and your tendencies, enabling you to lead yourself first. Once you become competent in leading yourself, the secret to leading others lies in understanding when to alternately support and challenge them with consistency. When people see you leading yourself and know you are for them, then they are more apt to follow you, because they perceive you as a leader worth following. His goal is to transform leadership by building leaders worth following by encouraging, equipping and empowering them with proven transferable tools. He is passionate about expanding the concept of Liberating leadership, where leaders learn how to both support and challenge effectively. 5 Voices: How To Be Present & Productive When There’s Never Enough Time

“When I am over productive and under present over time I become unproductive!”

Are you connected or disconnected?


Jeremie shows us pictures of the below situations asking the question, Connected or Disconnected?


  • Father on phone while sitting with his son (the little boy is looking at the phone his dad is holding in his hand and looking at instead of him, it’s the source of disconnection)
  • A couple on a date eating dinner are both looking at phones.
  • Couple at basketball game, guy on phone the whole game, her eyes on his phone with glare that could kill.


Where your eyes go so goes your mind!


  • The mind creates actions.
  • Actions have consequences.
  • Your Eyes set up your actions


Most people tend to focus on achievements


The 5 Gears we all operate in:

1. Recharge-Learn how to recharge completely unplugged

  • Exercise
  • Read
  • Devotions
  • Relax
  • Many of us are not good at this one
  • Introverts vs extroverts
  • How does tendency to recharge too much or too little affect your relationships and/or productivity
  • Ask someone you trust to help you recharge appropriately

2. Connect-Be present with family or friends without work

  • Date night
  • Time with kids
  • Authentic
  • Bonding and connecting
  • Depth Conversation
  • Authentic Connection
  • How are you doing really?
  • Active Listening
  • Communication is a two way street
  • Emotional intelligence
  • How does your tendency to go too deep or stay too shallow affect your relationships?
  • Practice 3rd or 4th gear first

3. Socialize-Be present with people-casual mode

  • Can shift up or down easily
  • Chit-chat
  • Some of you hate this gear
  • Dinner Party
  • Friends BBQ
  • Drinks After work
  • Church Foyer
  • Golf Course
  • Focus on being interested instead of being interesting
  • Some of you don’t care, y
  • All business happens in 3rd gear
  • People are trying you on in 3rd gear
  • What’s keeping you from connecting socially or going deeper with others?

4. Multi-task-work hard on various tasks

  • Most of us live here
  • Multi-taking
  • To do lists
  • Consistently reactive
  • Spinning Plates
  • Open Door Policy
  • I go get emails, my emails don’t come and get me
  • Some of you have issues if you are not 2 feet from your phone
  • Why do you find it so hard to stay present with those you care most about?
  • 1st thing in the morning you look at email, whatever is on the other end of that email dictates your morning, focus get shifted to some emotional trigger in your emails
  • Avoid email before breakfast for a month, replace it with something that inspires you and charges you for the day!

5. Focus-Get in the zone-Total Focus

  • When you are in a zone
  • Task centered
  • Fully focused
  • Moving quickly
  • Speed & Efficiency
  • Max Productivity
  • Hyper-Focus
  • Time Flies By
  • No Interruptions
  • In the Zone
  • No open door policy while you are in the zone, train your team so they will give you grace, can’t stay there all the time.
  • If it is in my calendar I get it done
  • Schedule 5th Gear time on your calendar for a month and practice entering and shifting in and out of this gear


Responsive Gearapologizing Sometimes you need to back-up, apologize for something, for not be present etc.,


  • Reverse mode
  • Being responsive not resistant-It is imperative that you learn how to listen and respond appropriately to feedback, correction and advice so that you can grown and improve in each of the gears.
  • Do you know you how to apologize?
  • How easy do you find it to apologize?
  • Some blame others
  • Some apologize too much
  • Teach kids to be responsive not resistant


Some Things to Remember:


  • How do gears work under stress?
  • Which gear do you default to?
  • Crashing is not resting!
  • Phone is useless when it crashes, have to recharge it to be effective. It is the same with us as people.


“Set your calendar for your family and which gears you are in.”


Trade up: invest your time in things that recharge you and build you up.


  • Jeremie change from listening to a lot of sports radio while commuting over to listening to podcast that build him up and refresh his mind and spirit.
  • You must invest your time in activities that recharge you and build you up instead of draining and distracting you.


Mastering Transitions


  • Establish some trigger points & Markers that help you transition from one gear to another so you can effectively go from 4th or 5th gear down to 2nd gear when you get home with your family.
  • You must intentionally change to get in the right gears at the right times in order to maximize your effectiveness in all areas of your life.
  • Jeremie us a two-minute warning system prior to meetings to change gears so he is more effective and connects with the people in those meetings. At 2:58 PM he uses this as two-minute warning for a 3:00 PM meeting, he begins to get present prior to the meeting.
  • When you are more present with your team you will increase your influence and effectiveness with your team.
  • If we do it wrong and are not present with our teams we will undermine our influence and leadership.
  • Many times we are in the habit of being in the wrong gear at the wrong time, just like when we are in gear 5 while with family instead of gear 2.
  • Most of us just aren’t aware of the gears and not aware of the impact it is having on our teams, families and ourselves.


Using the gears can serve as a sign language for you and your teams so that all of you can become more effective working with one another.
